About the job

Patient Coordinator

Dental Associates of Delaware is an independent, dentist-owned dental practice group proudly serving our community since 1975. We’re looking for a friendly, professional, and service-focused Patient Coordinator to help create an exceptional experience for every patient who walks through our doors.

As a Patient Coordinator, you’ll be at the heart of the patient experience. From the moment patients arrive until they leave, you’ll help make sure they feel welcomed, cared for, and informed. You’ll work closely with our doctors, hygienists, and team to keep the day running smoothly while providing the friendly, personalized service that makes patients want to continue choosing D.A.D. for their dental care.

What You’ll Do

  • Welcome and greet patients, doctors, vendors, and team members with a warm and professional demeanor.
  • Create a five-star experience for patients from arrival through departure.
  • Answer incoming calls promptly and professionally, assist callers with their needs, and route calls and messages to the appropriate team members.
  • Coordinate patient flow and communicate with the clinical team to keep appointments running smoothly.
  • Confirm upcoming appointments and assist with scheduling and hygiene recall.
  • Help new patients feel welcomed and prepared as they begin their relationship with D.A.D.
  • Confirm insurance benefits and help patients understand their coverage and financial responsibilities.
  • Collect patient payments and assist with treatment and financial coordination when needed.
  • Schedule future hygiene appointments and help maintain strong recall.
  • Assist with opening, closing, and daily office preparation.
  • Maintain a clean, organized, and welcoming reception area and patient beverage station.
  • Distribute mail and assist with other administrative responsibilities as needed.
  • Support patients with special needs and provide assistance when appropriate.
  • Work closely with Office Management and the clinical team to help ensure an efficient, positive patient experience.
  • Take on additional responsibilities and projects as assigned by Office Management.

We’re looking for someone who genuinely enjoys helping people and creating great experiences. Strong customer service and communication skills are most important.

The ideal candidate is

  • Professional and confident when communicating with patients in person and by phone.
  • Organized and detail-oriented.
  • Able to multitask and stay calm in a fast-paced environment.
  • A team player who enjoys working closely with doctors and coworkers.
  • Comfortable discussing scheduling, insurance, and patient financial responsibilities.
  • Dependable and willing to take ownership of keeping the front office running smoothly.
  • Previous dental or healthcare experience is preferred, but exceptional customer service experience is highly valued.
  • Experience with dental scheduling, insurance verification, recall, or Denticon is a plus.

What We Offer

  • Full-Time opportunity
  • Paid Time Off
  • Medical, Dental & Vision Benefits
  • 401(k)
  • Company-Provided Life & Accidental Death & Dismemberment (AD&D) Insurance
  • Long-Term Disability Coverage

  • Additional voluntary benefits, including Short-Term Disability, HSA, FSA, and HRA
  • Supportive team environment
